Annual General Meeting – HAMPTON PARK PAVILION

AGM Notice Feb 2025

Notice is hereby given that the annual general meeting of the company will be held at The Pavilion on Monday, 3^rd March, 2025, at 5.30 p.m. for the following purposes:

1. To receive the report of the directors and the accounts for the year ended 31^st December 2024.
2. To accept the retirement of all present directors (who may stand for re-election).
3. To appoint up to 5 directors
4. To reappoint J. Matthiae & Co. as the company’s independent examiners until the conclusion of the next annual general meeting of the company at which accounts are laid before the members.

A member entitled to attend and vote at the meeting is entitled to appoint a proxy to vote, and attend, instead of him. A proxy need not be a member of the company .Proxy forms can be obtained from charles.dewjones@gmail.com

Hampton Park Pavilion Membership

Invitations to membership may be made by the directors to each group or organisation who is a regular user of “The Pavilion” and to other groups or organisations who have expressed a specific interest in using the facilities.

Each group or organisation entering into membership appoints a single representative aged 16 or over who would then be invited to become a guarantor member entered in the register of members. As membership is not transferable, if an organisational representative member wishes to resign they are free to do so but it is hoped the organisation will select a replacement representative who can after due process take membership.

The trustees also encourages wider membership within the community from those living mainly (but not exclusively) within the Bishopdown Farm/Hampton Park/Riverdown Park estates and who have links or wish to encourage sports, leisure and socially beneficial activities involving young people and/or groups with specific needs or the public at large.

Annual General Meeting (AGM)

Unless notification is made to the contrary the AGM is to be held at the Pavilion on a date between 1^st March and 31^st May each year.

Guarantor members in membership at least one month prior to each AGM are entitled to vote.

Notice of the AGM and its agenda will be given to members and regular users not in membership not less than 21 days beforehand.

A public notice of the AGM and its agenda will also be displayed prominently at “The Pavilion” no less than 21 days beforehand.
